Privacy Policy for Synergo

Synergo (“we,” “our,” or “us”) is a hospital-focused mobile application designed for two stakeholders: Managers
and Employees. Managers create and assign tasks, while Employees perform those tasks. The App also monitors
workload, WRMDC (Work-Related Musculoskeletal Disorder Checks), body pain indicators, and generates daily
reports.
This Privacy Policy explains how we handle information collected through Synergo.
1. Account Access
- Synergo does not allow public account creation.
- All accounts (Manager or Employee) are created and managed by hospital administration through an Admin
Panel.
- Login credentials are provided directly by hospital management to authorized staff.
2. Information We Collect
a. Manager Information
- Name, role/department, and login credentials.
- Task assignments and reports generated for employees.
b. Employee Information
- Name, role/department, and login credentials.
- Workload details, task progress, and performance updates.
- Wellness data, including WRMDC checks and body pain assessments.
- Daily reports on tasks and workload status.
c. Technical & Usage Data
- Device details (model, operating system, unique identifiers).
- App usage statistics (time spent, actions performed).
- Logs for troubleshooting and performance improvement.
3. How We Use Information
- Enable Managers to assign and track tasks.
- Monitor Employee workload and wellness.
- Generate daily and cumulative reports for hospital administration.
- Support internal workforce planning and compliance.
- Improve App functionality, security, and user experience.
4. Data Sharing & Disclosure
We do not sell or rent personal information. Data may be shared only in these cases:
- Within the Hospital: Management and authorized administrators may access reports and task
data.
- With Service Providers: For hosting, analytics, and technical support, under strict
confidentiality.
- Legal Obligations: If required by law, regulation, or government authority.
5. Data Security
We apply technical and organizational safeguards, including:
- Encrypted transmission and storage of sensitive data.
- Access controls ensuring only authorized hospital staff can view relevant data.
- Regular monitoring and updates to maintain system security.
6. Data Retention
- Account Information: Retained until hospital management deactivates the account.
- Task & Report Data: Stored as long as required by the hospital’s operational or compliance
policies.
- Wellness Data: Retained only as necessary to generate reports and trends.
7. User Rights
Users (Managers and Employees) may:
- Request access to their personal information through hospital management.
- Seek correction of inaccurate data.
- Request deletion, subject to hospital policies and legal obligations.
8. Hospitals as Data Controllers
Hospitals are the Data Controllers, responsible for managing Manager and Employee accounts and compliance with
healthcare regulations (e.g., HIPAA, GDPR, or local laws). Synergo acts as a Data Processor, handling data only
on behalf of hospitals.
9. Children’s Privacy
Synergo is intended only for hospital workforce use and is not available to individuals under 18.
10. Changes to Policy
We may update this Privacy Policy periodically. Any changes will be communicated through the App or via hospital
administration. Continued use of the App signifies acceptance of updates.
